By registering for nVisionX'26, The Tech Summit on Sustainability and Green Energy, you agree to be bound by these Terms and Conditions. This constitutes a binding agreement between you (the "Participant") and Elan & nVision, IIT Hyderabad (the "Organizers").

1. Registration and Personal Information

1.1 Registration Requirements

  • All participants must register using accurate and complete information.
  • Registration is subject to approval by the Organizers.
  • Participants must be 18 years or older unless prior authorization has been granted.
  • Each registration is non-transferable without prior written consent from the event team.

1.2 Data Collection and Usage

By registering for nVisionX'26, you acknowledge and consent to the following:

  • Your personal information (name, email, phone number, institution/organization, and designation) will be collected and stored by the Organizers.
  • Your contact information may be shared with event sponsors, exhibitors, corporate partners, and government officials participating in the summit.
  • Your profile information (name, job title, and organization) may be visible to other attendees, speakers, and sponsors through the official event networking platform or mobile application.
  • If you allow your badge to be scanned by exhibitors during the event, your information will be shared with those exhibitors.
  • Photographs, videos, and recordings from the event may feature you and may be used for promotional purposes (see Section 7).

1.3 Opting Out

  • You reserve the right to request that your contact information not be shared with third parties by contacting the nVisionX team at the contact email provided on the event page.
  • Hide your profile in the event networking tool by adjusting your account settings.
  • Decline badge scanning by exhibitors during the event.

2. Pass Categories and Access

2.1 Visitor Pass (₹400)

Grants access to: All exhibits and poster sessions, Keynote speeches and panel discussions, Competitions (as a spectator), Registration kit and summit entry badge.

2.2 Explorer Pass (₹800)

Includes all Visitor Pass benefits plus: Exclusive entry to the Networking Lunch with Government Officials, Corporate Leaders, Startup Founders, Research Laboratories, and IIT Hyderabad Professors.

2.3 Badge Requirements

  • All attendees must wear their official event badge at all times during the summit.
  • Badges are non-transferable. Allowing another person to use your badge will result in immediate expulsion from the event.
  • Lost or damaged badges must be reported immediately to the registration desk.

3. Admissions Policy

The Organizers reserve the right to refuse or revoke admission to any individual at their sole discretion. Deny entry to individuals who are not industry professionals, students, researchers, or relevant stakeholders. Remove any attendee who engages in unauthorized activities, disruptive behavior, or violations of the Code of Conduct.

Prohibited activities include but are not limited to:

  • Unauthorized canvassing, solicitation, or promotional activities
  • Distribution of leaflets or materials without prior approval
  • Disruptive demonstrations or objectionable behavior
  • Any activity that interferes with the event or other participants' experience

4. Code of Conduct

nVisionX'26 is committed to providing a safe, respectful, and inclusive environment for all participants. All attendees must:

  • Treat fellow participants, speakers, sponsors, and staff with respect and professionalism.
  • Refrain from harassment, discrimination, or intimidation of any kind.
  • Respect intellectual property and confidential information shared during presentations.
  • Comply with all venue rules and safety regulations.

Anti-Harassment Policy:

Harassment of any kind—including but not limited to verbal, physical, visual, or online harassment based on gender, race, religion, disability, appearance, or any other protected characteristic—will not be tolerated. Violators will be immediately expelled without refund.

6. Cancellations, Refunds, and Changes

6.1 Participant Cancellations

Registration fees are non-refundable. Participants may transfer their pass to a colleague by contacting the event team at least 48 hours before the event.

6.2 Event Changes

The Organizers reserve the right to modify the event schedule, speakers, content, or venue. Postpone or cancel the event due to unforeseen circumstances. In the event of cancellation, registered participants will receive a credit valid for any future Elan & nVision event within 12 months. No cash refunds will be provided.

7. Photography, Recording, and Media

By attending nVisionX'26, you consent to: Being photographed, recorded, or videotaped during the event. The use of your image, voice, and likeness in promotional materials, social media, websites, and other media by the Organizers without compensation. If you do not wish to be photographed or recorded, please inform the event staff upon arrival.

8. Force Majeure

The Organizers shall not be held liable for any delay, cancellation, or failure to perform obligations due to events beyond reasonable control, including but not limited to: Natural disasters (earthquakes, floods, storms), Public health emergencies (pandemics, epidemics), Government orders or restrictions, Civil unrest, strikes, or riots, Terrorist attacks or threats, Venue emergencies (fire, structural damage, utility failures).

In such cases: Participants will be notified as soon as reasonably possible via email or website announcement. No refunds will be issued, but the Organizers may offer credit for a future event at their discretion.

9. Liability and Assumption of Risk

9.1 Personal Property

The Organizers are not responsible for any loss, theft, or damage to personal belongings during the event. Participants are advised to keep valuables secure at all times.

9.2 Personal Injury

Participants attend the event at their own risk. The Organizers are not liable for any injury, illness, or accident that occurs during the event, except where caused by gross negligence.

9.3 Third-Party Actions

The Organizers are not responsible for the actions or conduct of other attendees, sponsors, exhibitors, or third parties during the event.

10. Health and Safety

All participants must comply with all health and safety regulations at IIT Hyderabad and the Convention Centre. Follow instructions from event staff and security personnel. Report any safety concerns or emergencies immediately. Failure to comply may result in immediate removal from the venue without refund or compensation.

11. Alcohol and Conduct

The Organizers accept no responsibility for the actions of participants under the influence of alcohol. Participants must comply with legal drinking age requirements (18+ in India). Intoxicated individuals may be removed from the event at the discretion of event staff.

12. Intellectual Property

All content presented at nVisionX'26, including presentations, research posters, and materials, remains the intellectual property of the respective presenters and organizations. Participants may not reproduce, distribute, or commercialize event content without explicit permission.

13. Exhibitor Terms

  • Exhibitors must comply with all setup and breakdown schedules.
  • Ensure their booth and materials meet safety standards.
  • Not engage in aggressive marketing or disruptive behavior.
  • Obtain proper consent before collecting attendee information via badge scanning.

14. Privacy Policy

The Organizers are committed to protecting your privacy. For detailed information on how we collect, use, and protect your data, please refer to our full Privacy Policy available at the event website.

15. Amendments

The Organizers reserve the right to amend these Terms and Conditions at any time without prior notice. The version in effect at the time of the event shall govern your participation.

16. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of India. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts in Hyderabad, Telangana.
